The Role:
A leading offshore law firm is seeking a Corporate Administrator to join their team in Hong Kong. In this pivotal role, you will be responsible for:

Responsibilities:
  • Manage a portfolio of client entities, ensuring high-quality service delivery and adherence to internal standards.
  • Execute and respond to verified instructions and inquiries from clients and internal sources, handling client interactions directly while following established policies and meeting quality/turnaround requirements.
  • Handle day-to-day correspondence and administrative matters related to the client entities, drafting appropriate responses under the guidance of a supervisor or manager as needed.
  • Work independently on instructions from authorized signatories and points of contact.
  • Stay up-to-date with new procedures, ensuring policies and procedures are consistently followed.
  • Liaise with the Compliance team to complete all necessary due diligence requirements.
  • Maintain comprehensive company records, including registers, minute books, and regulatory filings (including electronic filings) as required.
  • Manage accounts receivable, work-in-progress, and billing for assigned clients in accordance with internal policies and procedures, and coordinate with the finance/billing department as needed.
  • Ensure the proper administration of companies, partnerships, and regulated funds in line with their constitutional documents and other relevant materials.
  • File updates to constitutional documents in a timely manner, including the payment of requisite fees.
  • Maintain minute books and registers, advising management of any concerns.
  • Prioritize and manage time effectively to maintain the client portfolio, complete daily tasks, and work on allocated projects, reprioritizing as appropriate.
  • Liaise directly with the Cayman and BVI fiduciary teams for any filing or clarification needs.
  • Communicate with lawyers, Registrars of Companies, financial regulators, and other governmental authorities as required.
 
Qualifications and Experience:
  • Business degree or equivalent is preferred
  • Understanding of AML/KYC/CDD requirements for standard business operations
  • HKCGI (Hong Kong Chartered Governance Institute) or STEP (Society of Trust and Estate Practitioners) qualification is desirable
